Job Summary
The Systems Support Specialist provides a variety of high-level administrative services for the Community Corrections Department, including preparing, writing, and producing reports and presentations, managing the department's internal and external websites, coordinating meetings and special events, and providing administrative support to the director and other managers. Assists in scheduling and performing information systems quality assurance and maintenance. Prepares reports and program documentation showing progress toward strategies and assists in explaining the information to stakeholders and other decision-makers. Assists with the development of data and strategic reports as they relate to performance management for all programs in the division.
Job Description
ESSENTIAL DUTIES
- Provides staff support for governmental committees; serves as a point of contact for community organizations, public agencies, foundations, and intra-county divisions.
- Develops and designs a new or revised procedural system that tracks the outcomes for our comprehensive plan, tracks our evidence based practice outcomes, and creates audit reports for management to assist in coaching staff.
- Manages the department's internal and external websites.
- Provides assistance to the director and managers with planning, research, analysis, and reporting of department projects.
- Composes correspondence from general instructions or by following knowledge of policies and procedures.
- Responds to public and client questions and concerns.
- Maintain the director's calendar; schedules meetings as appropriate.
- Develops and maintains filing systems; ensures information is available, well organized, and easily retrievable.
- Establishes CSTS computerized tracking systems to track and monitor the status of internal and external projects, issues, or requests.
- Prepares and distributes agendas; attends meetings; takes and transcribes minutes.
- Performs general administrative duties for county and similar programs and committees.
- Performs complex word processing and excel spreadsheet functions to prepare correspondence, forms, and reports.
- Creates, proofs, and edits presentations and newsletters using PowerPoint and Publisher.
- Assists in planning meetings including reserving conference rooms and required materials and equipment, coordinating invitations and registration, arranging catering services, and making travel arrangements.
- Works the hours and/or shifts assigned and begins and ends work on time.
- Performs related duties as required or assigned.
MINIMUM QUALIFICATIONS
Requires:
High school diploma/GED and five years of related work experience ** OR
High school diploma/GED plus one year post-secondary education and three years of related work experience OR
Associate's Degree and one year of related work experience
**Related work experience MUST BE in a position involving system support, training, system administration tasks, or technical problem solving. The incumbent shall possess a valid driver's license and provide a reliable means of transportation for the performance of work responsibilities.
SUPERVISORY CONTROLS
The employee is under general guidance and direction from the Community Corrections Director. With considerable allowance for independent judgment, work is performed according to established procedures and supervisor consultation for difficult or unusual problems as they occur. Work is reviewed for accuracy and quality through observation, examination of records and reports generated, and meetings.

WORK ENVIRONMENT AND PHYSICAL DEMANDS
Typical characteristics of the regular, ongoing work environment of this position requires inside work, typically in an office setting. The position is multi-task oriented and includes periods of stress when balancing multiple and varied needs/demands of services.
Physical activities include sedentary to light work: Reaching, sitting, standing, walking, pushing, lifting, pulling, fingering, grasping, feeling, stooping, talking, hearing, seeing, and repetitive motions. Lifts and/or navigates up to 35 pounds on a routine basis in handling files and equipment necessary for performing the essential duties of the job.
